ABSTRACT

This project describes the design and implementation of an electronic database management system for course advisers. It is a software that solves the challenges associated with manual database management of student records. These challenges include manual computation of results and calculation of CGPA, sorting of students’ records etc. This project comprises the Database and the GUI. The GUI, which is the Graphical User Interface (GUI), enables the user communicate with software. The database can only be accessed and updated by the data administrator. This project will aid in the effective computation of CGPA and assist course advisers in playing their role.

CHAPTER 1

INTRODUCTION

1.1. BACKGROUND

A university is a tertiary institution of learning that deals with information concerning students which includes files and records of various departments. It also deals with administrative works such as staffing, school running etc.

Database is a collection of persistent data that can be shared and interrelated. Database has been managed prior to this time by using the paper filing system. This paper filing system is the manual method of database of database management in which files are kept in alphabetical order for ease of sourcing and retrieval.

A database management system is a collection of software that supports the creation, use and maintenance of databases. Database management software such as Microsoft Access, SQL, (structured querying language) etc have been developed to assist organizations in organizing their database in such a way that data can easily be accessed, retrieved and updated.

It is essential that a database has data integrity; this implies that at all times database must have data accuracy, a reliable data entry and timeliness.

In time past, database has been managed manually and students’ files and records have been computed in this manner, which has resulted to problems such as data loss, delay in data retrieval etc. A university requires an excellent and well managed database for a successful operation and the traditional method of data computation has proven to be inefficient.

To create an efficient database, programming languages have been developed. These programming languages include Visual Basic, Java, C++, etc.

1.2. STATEMENT OF PROBLEM

There are so many problems associated with paper filing system, these problems include;

  • Inefficiency in sharing information amongst lecturers
  • Inefficiency in computation
  • Data storage problems
  • Human error in creating. using and maintaining data

1.3. MOTIVATION

The need to create a better Database management system for Electrical/Electronics Engineering Department, so as to alleviate the short comings of manual computation of data, has propelled us to research, design and implement an electronic database management system.

1.4. OBJECTIVES

The primary aim of this project is to design and implement an electronic database management system for course advisers with the following objectives;

  • Accurate computation of results
  • Automated CGPA computation
  • To create forms that will make search for students’ records easier.
  • To design software that will provide an effective way of accessing and retrieving students’ records.

1.5. SCOPE

  • The scope of this project is to design a database template that is restricted to students’ record. Thus it can be used by different departments, but the department of Electrical/Electronics Engineering was used as a case study.
  • This project will be limited to the application of Microsoft Access and Visual Basic programming only, where the Graphical User Interface (GUI) of the database management system is designed using Visual Basic 6.0 and collection of related data is achieved with the aid of Microsoft Access.
  • As a template, it does not include list of all the lecturers and students of the Electrical/Electronics department. But the names that will be seen here are just used for illustration purposes only. However slight modifications could be made to suit the operations of the university.

1.6. METHODOLOGY

In order to accomplish our goal to design and implement an electronic database management system, the following approaches will be used;

  • Designing of the graphical user interface (GUI) using Visual Basics 6.0
  • Creation of database using Microsoft Access
  • Linking the GUI in the Visual Basic environment and database in Microsoft Access environment using the Advanced Data Object Data Control (ADODC)

 1.7. SIGNIFICANCE

This project will relieve course advisers of the stress they encounter in the course of manual computation of result.

It will also ensure data security, as it prevents access to unauthorized users to the database. Students CGPA

1.8. PROJECT STRUCTURE

Chapter 1 contains the introduction, which includes project background, statement of problems, motivation, objectives, scope, methodology and significance. Students CGPA

Chapter 2 deals with the literature review of relevant materials based on similar researches and database. It also contains the definitions and explanations on management systems.

Chapter 3 contains the block diagram showing the various stages of the design, the Pseudo codes of the project and the system network topology. Students CGPA

Chapter 4 deals with the performance analysis of the database management system design, displaying results.

Chapter 5 contains the conclusion and the recommendation for the entire project. It also states the challenges encountered in the course of the project and the solutions.
